F7 Software Inc ("Company", "we", "us", or "our") operates the F7 Business Suite platform ("Service"). F7 Business Suite is a product of F7 Software Inc, located at 6934 Oak Ridge Commerce Way, United States. This Privacy Policy describes how we collect, use, store, and protect your information when you use our Service.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, company name, phone number, and billing information. This information is necessary to provide the Service and process payments.

Business Data

The Service stores your business data including but not limited to: financial records, customer information, vendor information, inventory data, work orders, rental agreements, cylinder tracking data, invoices, and employee records. This data is stored in your dedicated, isolated database and is owned entirely by you.

Usage Data

We automatically collect information about how you interact with the Service, including: pages visited, features used, timestamps, IP addresses, browser type, and device information. This data helps us improve the Service and troubleshoot issues.

Files and Documents

Files you upload to the Service (attachments, document templates, logos) are stored securely with access restricted to your company.

2. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Process transactions and send billing-related communications
  • Send technical notices, updates, security alerts, and support messages
  • Respond to your requests and provide customer support

The Service is built with hard data isolation. Each customer receives its own dedicated, isolated database. Your business data is never co-mingled with any other company's data. Access to your data requires authentication through your company's credentials.

  • Encryption in transit and at rest
  • Per-company database isolation
  • Role-based access controls
  • Audit trail logging of all data access and modifications
  • Daily automated backups with 30-day retention
  • Regular security assessments

4. Data Sharing

We do not sell, rent, or share your business data with third parties for their marketing purposes. We may share information only in the following circumstances:

  • Service providers: We may share information with vendors who provide services on our behalf (hosting, payment processing, email delivery), subject to confidentiality obligations.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority.
  • Business transfers: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Data Retention

We retain your account information and business data for as long as your account is active. Upon termination of your subscription, you have 30 days to export your data. After 30 days, we may delete your data from our active systems. Backup copies may persist for up to 30 additional days before being permanently deleted.

  • Access your personal data and business data at any time through the Service
  • Export your data in standard formats
  • Correct inaccurate information in your account
  • Delete your account and request deletion of your data
  • Object to certain processing activities

If your customers access the Service through the Customer Portal, their portal credentials and activity are stored in your company's database. You are responsible for informing your customers about how their data is used within your instance of the Service.

The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service at least 30 days before the changes take effect. The "Last updated" date at the top of this page indicates the most recent revision.
